Former students and employees will have access to a limited number of Microsoft 365 apps (formerly called Office 365, or O365). The specific apps will depend on your continuing affiliation with the Vermont State Colleges (VSC), including the Community College of Vermont (CCV) and Vermont State University (VTSU).

Graduating Students
Shortly after graduation the status of your account will change to an Alumni account. Alumni will keep access to Microsoft 365’s email and calendaring functions only. These functions include:
- Microsoft 365 email account and email address
- Calendar
- People/Contacts
- Tasks
You will no longer have access to Microsoft 365 desktop and online apps such as Teams, Word, Excel, PowerPoint, OneDrive, OneNote, and more. If you have data in any of these applications, you will need to back it up before you graduate: Backup OneDrive files.
Alumni Email
The primary email alias will change to username@alumni.school.edu for example, abc00123@alumni.ccv.edu. Here are some important points to note:
- Email sent to your student email address will still be delivered to your inbox.
- Alumni can log in to email using https://outlook.office365.com/owa/vsc.edu.
- Alumni will still be expected to change their password. See Password Expiration Details for more information. Account Login FAQ
- Alumni email addresses are removed from the shared address book.
- We strongly recommend alumni have an alternative primary email.
Students Who Withdraw
If you are a student who has withdrawn from the college prior to graduating and have no other official affiliation with the college, you will lose access to your Microsoft account around 470 days after your last active semester and the files and the data in your Microsoft account will be deleted. If you have any files or data you would like to keep, you will need to back it up before that time: Backup OneDrive files.

Faculty and Staff Retirees
Shortly after an employee retires from the VSC the status of their account will change to a retiree account. Retirees will keep access to Microsoft 365’s email and calendaring functions only. Access to OneDrive, Teams, and other Microsoft 365 apps will be removed. If you have data in any of these applications, you will need to back it up before you retire: Backup OneDrive files. The primary email address will be changed to username@retiree.school.edu.
Retirees
- If an employee retires but continues to teach at least one course or work part they will not be switched to retiree status. They will keep all of their access until they are completely retired.
- Email sent to your former email address (Firstname.Lastname@school.edu for VTSU; username@school.edu for CCV) will still be delivered to your inbox, but recipients of an email you send to will see the new format: Username@retiree.school.edu.
- Retirees should log in to email using the direct email link https://outlook.office365.com/owa/vsc.edu.
- Retirees will still be expected to change their password every 270 days. Password Expiration Details.
- Retirees email address will be removed from the shared address book when their status shifts from faculty/staff to retiree.
- We strongly recommend retirees have an alternate primary email.
Former Faculty and Staff
Faculty and staff whose employment ends before they obtain retiree status, and are not affiliated with either college in another way, will lose their access to VSC services on the last date of employment.
Users with Multiple Roles
There are instances when an individual is both an alum and a current student, or an alum and a faculty or staff member. In those cases Microsoft 365 access would be that of a student or employee.
Backup OneDrive Files
If your account is changing, you may need to back up your OneDrive files! For the most up-to-date instructions, view Microsoft’s support article Download files and folders from OneDrive or SharePoint.
