All current students, faculty, and staff have access to VSC wide services such as Office365, Canvas, the Portal, etc while they are taking courses or employed by the VSC. A person’s access will change contingent on their relationship with the VSC. Below is a breakdown of the timeline and account access changes when the status changes.
Alumni O365
Soon after graduation every student’s account will be shifted to Alumni. The O365 license will be bumped down to only email, calendar, and contacts. The account will lose access to OneDrive, Teams, and any other apps that were included in the license for students and employees.
Alumni Email
The primary email alias will change to Username@alumni.school.edu.
- Email sent to the primary email while the student was taking courses will still be delivered to the inbox, but recipients of an email you send will see the new format: Username@alumni.school.edu
- Alumni should log in to email using the direct email link here: LINK
- Alumni will still be expected to change their password every 270 days. They can change their password by logging into the Password Management Portal here: LINK
- Password expiration emails will still be sent on the same schedule from the same address outlining when your password will expire and how to change it.

- Alumni email addresses will be removed from the global address list [ address book ] when their status shifts from student to alumni.
- We strongly recommend alumni have an alternative primary email.
Students who Withdraw
When a student does not graduate and they withdraw they will lose access to their O365 account one year after their last active semester. Information in their O365 account will remain for a period of time, but the VSC cannot guarantee how long.
Faculty and Staff Retirees
Similar to Alumni, employees status will change soon after their last course taught or date employed. Employees who retire from the VSC will retain their access to their VSC email account, but the license will be demoted to one that only includes email, calendar, and contacts. Access to OneDrive, Teams, and other O365 apps will be removed. The primary email address will be changed to Username@retiree.school.edu.
Retirees
- If an employee retires but continued to teach at least one course or work part time will not be switched to Retiree status. They will keep all of their access until they are completely retired.
- Email sent to the former email [ Firstname.Lastname@school.edu ] will still be delivered to the inbox, but recipients of an email you send to will see the new format: Username@retiree.school.edu

Faculty and Staff who leave before they obtain retiree status
Employees who are no longer employed by the VSC will lose all of their access to VSC services on the last date of employment.
